Terms & Conditions

Welcome to Tranquil Island Retreats.

We believe meaningful travel begins with thoughtful preparation, mutual respect, and a spirit of openness.

These Terms & Conditions explain what you can expect when reserving and participating in a Cozumel Island Retreat or Journey with the Monarchs experience.

Please review them carefully before confirming your reservation.

1. Reservations & Payments

Each retreat is thoughtfully designed around the interests, preferences, and needs of our guests.

Retreat pricing and included services will be outlined in your personalized proposal before a reservation is confirmed.

A deposit equal to 50% of the total retreat price is required to confirm your reservation.

The remaining 50% balance is due 30 days before arrival.

Payments may be made through PayPal or Zelle. Payment instructions will be provided during the reservation process.

Reservations made within 30 days of arrival require payment in full at the time of booking.

2. Cancellation & Refund Policy

We understand that plans sometimes change.

If you need to cancel your retreat, please notify Tranquil Island Retreats in writing at jeni@tranquilislandretreats.com.

The following cancellation terms apply:

  • More than 60 days before arrival: Full refund of your deposit and any additional payments made.

  • 31–60 days before arrival: 50% of your deposit will be refunded. The remaining 50% of your deposit is nonrefundable. Any payments exceeding the deposit will also be refunded.

  • 30 days or fewer before arrival: No refund will be provided.

If the remaining balance is not received by the payment deadline, Tranquil Island Retreats may cancel the reservation after providing written notice.

Any refunds or remedies required by applicable law will be honored.

3. Transferring Your Deposit

If your plans change, you may request a one-time transfer of your deposit toward another Tranquil Island Retreats experience.

Deposits may be transferred between Cozumel Island Retreats and Journey with the Monarchs.

The following conditions apply:

  • Requests to transfer a deposit must be submitted in writing more than 30 days before the scheduled retreat arrival date. Deposits are not eligible for transfer within 30 days of arrival, as accommodations, activities, and other retreat arrangements have already been confirmed and financial commitments made. The new experience must take place within 12 months of the original retreat start date.

  • Transfers are subject to availability and applicable price differences.

  • Each deposit may be transferred once.

  • A deposit that has become nonrefundable does not regain its cash refund value through a transfer.

  • Payments exceeding the deposit remain subject to the cancellation and refund policy.

We will make reasonable efforts to accommodate changing circumstances whenever possible.

4. Changes or Cancellations by Tranquil Island Retreats

Occasionally, circumstances beyond our control may require changes to a retreat itinerary, scheduled activities, accommodations, transportation, or other arrangements.

Tranquil Island Retreats reserves the right to make reasonable changes when necessary for guest safety, weather conditions, availability, or other unforeseen circumstances.

If we must cancel an entire retreat before it begins, guests will be offered the choice of:

  • Transferring payments to another available Tranquil Island Retreats experience, including either Cozumel Island Retreats or Journey with the Monarchs.

  • Receiving a full refund of payments made directly to Tranquil Island Retreats for the cancelled experience.

Tranquil Island Retreats is not responsible for independently booked airfare, accommodations, or other travel expenses, except where required by applicable law.

We strongly encourage guests to obtain travel insurance that includes trip cancellation and interruption coverage.

5. Travel Insurance

For the protection and peace of mind of everyone participating, all guests are required to obtain appropriate travel insurance for their retreat.

Coverage should include:

  • Emergency medical treatment and hospitalization.

  • Emergency medical evacuation and repatriation.

  • Coverage for the activities included in your retreat itinerary.

  • Trip cancellation, interruption, and unexpected travel disruptions.

Guests are responsible for confirming that their insurance policy provides adequate coverage for their destination, activities, and individual circumstances.

All guests are required to provide proof of valid travel insurance at least 30 days before their scheduled retreat arrival date. For reservations made within 30 days of arrival, proof of insurance must be provided before the reservation is confirmed.

Documentation must demonstrate coverage appropriate to the retreat experience, including emergency medical treatment, hospitalization, medical evacuation, and planned activities. Guests are responsible for confirming that their policies also provide suitable trip cancellation and interruption coverage.

Tranquil Island Retreats reserves the right to decline participation if the required proof of insurance has not been provided, subject to applicable law and the terms of the reservation.

Travel insurance is separate from any insurance maintained by Tranquil Island Retreats or its independent activity providers.

6. Travel Documents & Health Requirements

Guests are responsible for obtaining and maintaining all travel documents required for their retreat, including valid passports, visas, and any other necessary entry documentation.

Guests are also responsible for reviewing and complying with applicable health, vaccination, and entry requirements for travel to Mexico.

Tranquil Island Retreats is not responsible for costs, delays, or missed experiences resulting from incomplete or invalid travel documentation, except where required by applicable law.

Guests should consult their healthcare provider before traveling if they have questions about their ability to participate in planned activities.

Please inform Tranquil Island Retreats in advance of any accessibility needs, dietary restrictions, or other accommodations that may affect your retreat experience. We will make reasonable efforts to accommodate individual needs.

7. Activities & Independent Providers

Activities and excursions included in a guest's personalized retreat proposal are arranged and paid for directly by Tranquil Island Retreats as part of the retreat package. These experiences may be delivered by independent local providers who are responsible for conducting their activities in accordance with applicable safety requirements and regulations.

Certain activities and services are arranged through independent third-party providers, including transportation companies, guides, instructors, and excursion operators.

Guests may also choose to participate in additional activities independently, such as scuba diving or other excursions not included in their retreat itinerary. In these cases, Tranquil Island Retreats may recommend providers, but guests are responsible for making their own reservations, payments, and arrangements directly with those providers.

Participation in all activities is voluntary. Guests are responsible for following applicable safety instructions and communicating any concerns about their ability to participate.

Independent providers may have their own terms, conditions, safety requirements, and liability policies. Nothing in these Terms & Conditions excludes responsibility that cannot legally be excluded.

8. Transportation & Transfers

When transportation is included in a guest's personalized retreat proposal, Tranquil Island Retreats arranges and pays the transportation provider directly as part of the retreat package. Transportation services may be provided by independent local operators, including licensed taxi services, private drivers, and other transportation companies, who are responsible for operating in accordance with applicable licensing, insurance, and safety requirements.

Guests are responsible for reviewing their retreat proposal to understand which transfers and transportation services are included and which must be arranged independently.

Transportation schedules, routes, and providers may change due to weather, road conditions, availability, safety considerations, or other circumstances beyond our control.

Guests are expected to follow applicable safety instructions and local transportation regulations.

Independent transportation providers are responsible for operating their vehicles safely and maintaining any licenses and insurance required by applicable law. Nothing in these Terms & Conditions limits any responsibility that cannot legally be excluded.

9. Acknowledgment of Risks & Personal Responsibility

Participation in Tranquil Island Retreats experiences may involve physical activities, outdoor environments, travel, and encounters with natural conditions that carry inherent risks.

These activities may include swimming, snorkeling, paddleboarding, yoga, hiking, horseback riding, boating, and other recreational or cultural experiences.

Potential risks may include, but are not limited to, injury, illness, dehydration, heat exposure, changing weather conditions, ocean currents, uneven terrain, wildlife encounters, transportation incidents, and unforeseen circumstances.

By choosing to participate, guests acknowledge that these risks cannot always be eliminated, even when reasonable safety precautions are taken.

Guests agree to follow safety instructions, use appropriate equipment, exercise reasonable care, and communicate any concerns about their ability to participate.

Participation in individual activities is voluntary. Guests may decline an activity if they feel uncomfortable or unable to participate safely.

If a guest becomes ill, injured, or otherwise unable to participate in a scheduled activity, Tranquil Island Retreats will make reasonable efforts to offer an alternative experience when the guest wishes to participate and when a suitable option is safely available. Alternative arrangements are subject to the guest's circumstances, provider availability, and any applicable additional costs. Guests are never required to participate in activities that feel unsuitable for their physical or emotional well-being.

Nothing in this acknowledgment waives rights or excludes liability that cannot legally be waived or excluded under applicable law.

10. Guest Conduct & Respectful Participation

Tranquil Island Retreats is committed to creating a welcoming, respectful, and supportive environment for all guests.

Guests are expected to treat fellow participants, retreat hosts, guides, service providers, and members of local communities with courtesy, consideration, and respect.

Harassment, discrimination, threatening behavior, violence, or conduct that compromises the safety or well-being of others will not be tolerated.

Guests are encouraged to respect local customs, cultural traditions, wildlife, and natural environments throughout their experience.

Tranquil Island Retreats reserves the right to address inappropriate or unsafe conduct and, when reasonably necessary, to discontinue a guest's participation in an activity or retreat.

Tranquil Island Retreats reserves the right to immediately suspend or end a guest's participation if their conduct presents a serious threat to the safety or well-being of other guests, staff, providers, or members of the local community. In such circumstances, the guest may be required to leave the retreat, and no refund will ordinarily be provided for unused portions of the experience, except where required by applicable law. Any decision will be made with consideration for the circumstances and the safety of everyone involved.

11. Photography, Video & Guest Privacy

Tranquil Island Retreats may take photographs or videos during retreat experiences to capture meaningful moments, natural surroundings, and shared adventures.

Tranquil Island Retreats respects each guest's privacy and personal preferences. Identifiable photographs or videos of guests will only be used for promotional or marketing purposes with their explicit permission, documented through a separate written photography and video consent form. Guests may decline consent without affecting their participation in the retreat or the quality of their experience.

We also ask guests to respect the privacy of fellow participants and obtain permission before publicly sharing photographs or videos featuring others.

Any personal information collected during the reservation process will be handled with care and used for purposes related to organizing and providing retreat experiences, subject to applicable privacy laws.

12. Accommodations & Personal Belongings

Accommodations for the duration of each retreat are arranged and paid for directly by Tranquil Island Retreats as part of the personalized retreat package, unless otherwise specified in the guest's proposal. Reservations are made in the individual guest's name with the selected accommodation provider.

We thoughtfully select accommodations with consideration for guest comfort, safety, location, and the overall retreat experience.

Guests are responsible for taking reasonable care of their personal belongings, including passports, money, jewelry, electronic devices, and other valuables.

We encourage guests to use available security features at their accommodations and avoid leaving valuables unattended in public areas, vehicles, or during excursions.

Guests should promptly report any lost, stolen, or damaged belongings to their accommodation provider and Tranquil Island Retreats so that appropriate assistance can be offered.

Tranquil Island Retreats is not responsible for loss, theft, or damage to personal belongings except to the extent responsibility is established under applicable law.

We recommend that guests ensure their travel insurance includes appropriate coverage for personal belongings and valuables.

13. Force Majeure & Unforeseen Circumstances

Tranquil Island Retreats recognizes that extraordinary circumstances beyond our reasonable control may occasionally affect travel plans or the safe operation of a retreat.

Such circumstances may include, but are not limited to, hurricanes, severe weather, natural disasters, public health emergencies, government restrictions, transportation disruptions, civil unrest, or other unforeseen events.

When circumstances make it unsafe or impossible to operate a retreat as planned, Tranquil Island Retreats may modify, postpone, or cancel the affected experience.

Whenever possible, our first priority will be to offer guests the opportunity to transfer their payments toward a rescheduled retreat or another available Tranquil Island Retreats experience, including Cozumel Island Retreats or Journey with the Monarchs.

Transfers will be coordinated in consultation with guests and may be subject to availability and applicable price differences.

If Tranquil Island Retreats must cancel an entire retreat before it begins and a suitable transfer or rescheduling arrangement cannot be agreed upon, guests will be offered a refund of payments made directly to Tranquil Island Retreats for the cancelled experience, subject to applicable law.

If extraordinary circumstances arise after a retreat has begun, we will make reasonable efforts to arrange safe alternatives or adjustments. Any applicable refunds or credits for services not provided will be determined according to the circumstances, recoverable costs, and applicable law.

Tranquil Island Retreats is not responsible for independently booked airfare or other travel arrangements, except where required by applicable law.

Guests are required to maintain appropriate travel insurance and are encouraged to confirm that their policies provide coverage for trip cancellation, interruption, severe weather, and other unexpected disruptions.

Nothing in this section limits rights or remedies available under applicable law.

14. Governing Law & Dispute Resolution

Tranquil Island Retreats is a legally registered business operating in Quintana Roo, Mexico.

These Terms & Conditions are governed by the applicable laws of Mexico, including relevant federal laws and the laws of the State of Quintana Roo.

We believe that open communication, mutual respect, and good faith are essential to resolving concerns.
